Build Your Own Bot: How Rentwell Gave Every Employee a Company Expert on Demand

Rentwell created a custom chatbot connected to their internal database: their processes, their policies, their pricing, their messaging, their branding standards. All of it fed into the bot from their own Google Drive.

When an employee has a question — what are our rules around this? how long do I have to do X? — they open the chatbot and ask. They get an answer instantly, drawn from Rentwell’s actual documentation, without having to track down a manager or interrupt anyone’s day.

That alone is valuable. But the more interesting use case involves their sales team.

A Rentwell sales team member had an idea: he wanted to visit local municipalities, boroughs, and code offices with a professional leave-behind — something that represented the company well and communicated the right message for that specific audience.

Previously, building that kind of materials would have meant going back to someone else for the branding, the pricing, the messaging, getting approvals, waiting for a draft. Instead, he was able to build it himself using the custom bot, which already contained all of Rentwell’s brand standards, pricing structure, and messaging frameworks.

He had the idea. He executed it. No bottleneck.

TJ’s observation about what happened next is worth noting: it gave the sales rep autonomy and ownership. He wasn’t waiting for permission or resources. He had what he needed to act on his own initiative, and the output was on-brand because the bot was built on Rentwell’s actual materials.
